Service Notice & Quotation Summary

This Service Notice outlines the services, deliverables, and terms associated with quotes provided by Jason Loudermilk Photography, LLC, DBA Jason Loudermilk Productions (“Service Provider”) to any client or client representative (collectively referred to as “Client”). This document is intended to clearly communicate expectations, scope, and service policies related to photo, video, editing, and production services.

Important: By accepting a quote, the Client agrees to the outlined services, and an invoice will be generated accordingly.

Scope of Services

The Service Provider agrees to deliver photography, videography, editing, and/or production services as outlined in the quote. All materials created are copyrighted and remain the intellectual property of the Service Provider unless otherwise agreed upon in writing.

Client Confidentiality

• Client confidentiality is held in the highest regard.

• The Service Provider will sign a Non-Disclosure Agreement (NDA) upon request.

Quotes & Rates

• All services are quoted in advance based on the Client’s stated needs, scope of work, and timeline.

• We strive to stay within quoted estimates; however, actual charges may vary due to changes in scope, revisions, or unforeseen complexities.

• Any potential overages will be communicated in advance and require Client approval before proceeding.

• If efficiencies result in reduced work time or cost, this may be reflected in the final invoice.

• We are committed to being transparent, fair, and collaborative.

Scheduling & Meetings

• General scheduling is included with the quote.

• Additional meetings, conference calls, or on-site consultations may incur additional charges.

Equipment & Technical Quality

• Only high-quality, professionally maintained equipment is used.

• A standard camera package typically includes:

  • Cinema camera or professional mirrorless digital camera

  • Standard lens kit

  • Audio microphones and recording gear

  • Lighting package

• Additional or specialty equipment not owned by the Service Provider may need to be rented at the Client’s expense.

Deliverables & Turnaround Time

• Raw Video Files: Delivered digitally up to 150GB. Larger deliveries may require a hard drive (Client-paid).

• Edited Videos: Includes two (2) client revisions. Delivered in .MP4 format. Alternate formats available upon request.

• Photographs: Edited for exposure and color correction. Delivered digitally within 7 business days unless otherwise specified.

Payment Terms

• A 50% retainer is required to reserve the date, time, and resources for all services. This retainer is non-refundable.

• By paying the retainer, the Client confirms the booking, and Jason Loudermilk Photography, LLC, DBA Jason Loudermilk Productions commits to the project. In doing so, other opportunities are turned away to ensure full availability and focus.

• The remaining balance is due as outlined in the quote, typically upon completion of services and prior to final delivery.

• In the event of cancellation by the Client, the retainer will be retained to cover project preparation and scheduling. Because other work was declined, no portion of the retainer will be refunded. Additional work completed beyond the value of the retainer may also be invoiced.

• All travel-related expenses are the responsibility of the Client.

• Usage rights (for distribution, publication, or broadcast) are not granted until the full invoice is paid.

• Accepted payment methods: credit card (3.5% processing fee), ACH, or check.

Usage Restrictions

No use, sharing, or publication of any footage, photos, or delivered materials is permitted until the invoice has been paid in full.

Media Archiving & Retrieval

• All media is archived for up to 1 year.

• After 1 year, media is moved into deep archive and may be retrieved for a flat rate of $100 within a 3-month window. Retrieval after that window is not guaranteed.

Liability for Media Storage & Corruption

While we take reasonable precautions to store and back up all media, Jason Loudermilk Photography, LLC is not responsible for lost, corrupted, or damaged files after delivery is complete.

Additional Fees & Changes

• Changes to the agreed-upon scope may result in additional charges.

• Last-minute schedule changes or additional resources may incur further costs.
